You’ve booked your venue, you’ve set your date and you’re one step closer to your big day. Now it’s time to think about your guests. As a couple it’s important to make accommodations for those coming from out of town or traveling to your destination wedding. Making things as easy as possible for your guest will ensure you have a full and excited wedding party. Secure wedding hotel room blocks early to ensure your guests are well cared for!

Most likely, many of your guests will be traveling for your wedding. Meanwhile, guests who live close by might want to book a hotel room near the venue so they don’t have to worry about driving home after the festivities.

Regardless of where they live, it’s vital that you offer choices of hotels or resorts from a variety of price points. There are a few factors to consider when thinking about what accommodations you need to make for your guests. Luckily, we can offer some helpful tips.

When Should I Plan Wedding Accommodations for my Raleigh, Durham, Cary or Chapel Hill Wedding?

As soon as you have your wedding date secured, you can work on this to-do. But at the very least, we advise 6-9 months in advance. If your wedding is in the peak season of spring or fall, we advise working on this 10-12 months in advance.

You should reach out to nearby hotels to ensure they have the availability to host your guests. The sooner you set a side a room block the better. A lot of factors can occur that will cause the hotel to book up. It’s important to be proactive about hotel availability.

How Much Do Wedding Room Blocks Cost in Raleigh-Durham, NC?

Your duty is to find accommodations that range in budget. From there, share the information via your wedding website or save-the-date, and let your guests choose. Consider booking room blocks at a few hotels, at a variety of price points. Room blocks for weddings in the Triangle Area of NC range from $90 to $500 per room night.

Each hotel has their own range of prices which vary on seasonality. While the cost is not all on you up-front, they do typically require a commitment to a certain amount of rooms in order to secure a discounted rate. You will be responsible for that guaranteed amount – within limits. That means, you will have the opportunity to release rooms at a certain date.

Please note, if you are hosting your wedding at a boutique hotel or B&B, there is often a requirement to book out the entire property. In this case, there would be no opportunity to release rooms.

It’s all about the Location

When offering hotel accommodations, they should be as close to your venue as possible. If that is not possible, find the closest hotels to your event venue.

Wedding Day Transportation

If your wedding is not in a downtown area, and there are no walkable hotels, consider making travel arrangements for your guests. This is especially important if your wedding is in a remote area.

If some guests choose to stay somewhere close by but not in walking distance. Consider hiring a car or shuttle service. Many hotels offer a shuttle service if you’ve booked a room block with them.

Ask about a shuttle when booking your room block and many hotel’s will factor that into your guest’s room price. If not, offer Uber or Lyft options for them. Calling a ride share service for discounted rates or prepaid cars will help take care of guests having to find a way back to their hotels.
